View as MarkdownIf your POS isn’t one we support, you can still get phone orders automatically. We provide a OneTablet order tablet for your store. Phone orders from Virnika show up on the tablet, and your staff accept and prepare them from there.
Your menu, item availability and open/paused status live in OneTablet and stay in sync with Virnika automatically. Your existing POS keeps working as it does today. OneTablet sits alongside it.
Before you start
Section titled “Before you start”- A OneTablet account for your location. If you don’t have one, your onboarding specialist sets it up with you.
- Your pickup tax rate. OneTablet doesn’t send tax rates to Virnika, so we set a default tax rate for you.
Get your store ID from us
Section titled “Get your store ID from us”Your onboarding specialist creates your location in Virnika and gives you a store ID for it. Each location has its own ID.
Enter the store ID in OneTablet
Section titled “Enter the store ID in OneTablet”In OneTablet, enter the store ID as the merchant-supplied ID for that location. It has to match exactly, so copy and paste it rather than typing it. If you’re not sure where this goes, OneTablet support can help.
Confirm your tax rate
Section titled “Confirm your tax rate”OneTablet menus don’t include tax. Tell your onboarding specialist your pickup tax rate, and we set it as your location’s default. Virnika can’t turn on phone ordering for a OneTablet location until this is set, even if your rate is zero.
Send your menu from OneTablet
Section titled “Send your menu from OneTablet”Once the store ID is in place, OneTablet sends us your menu. Your location goes live in Virnika as soon as the first menu arrives. If it doesn’t show up, ask OneTablet to send the menu again.
Check your menu and place a test order
Section titled “Check your menu and place a test order”We go over the imported menu with you, including items, modifiers, prices and hours. Then we place a test order to make sure it reaches your tablet and kitchen the way you expect. After that, you’re ready to go live.
What syncs from OneTablet
Section titled “What syncs from OneTablet”- Menu: categories, items, modifiers and prices, in the same order as in OneTablet. OneTablet sends updates whenever your menu changes.
- Hours: menu hours come from your OneTablet open hours.
- Out-of-stock items: when you 86 an item or modifier in OneTablet, Virnika stops offering it right away.
- Inactive items: items, modifiers and categories you’ve turned off in OneTablet aren’t offered on the phone.
- Store status: when you pause your store in OneTablet, Virnika tells callers ordering is temporarily paused. When you turn it back on, Virnika takes orders again.
How orders arrive
Section titled “How orders arrive”- Orders are sent as pickup orders, with the caller’s name and phone number.
- Every order’s notes start with
PHONE ORDER. Orders the caller paid for over the phone say** PAID **. Pay-at-pickup orders say** PAY IN STORE **. - Curbside orders include the caller’s vehicle description in the notes.
- Orders can be placed for as soon as possible or for a later time.
- Tips are sent with the order.
- If an item is ordered more than once with modifiers or special requests, each one is shown as its own line, so every unit’s changes are clear on the ticket.
- When you accept an order in OneTablet with a prep time, Virnika updates the pickup time to match.
Limitations
Section titled “Limitations”- Delivery isn’t supported. Phone orders through OneTablet are pickup only.
- OneTablet doesn’t send tax rates. Tax uses the default rate set in Virnika, so tell us if your rate changes.
- Orders can’t be edited from Virnika once they reach OneTablet. Make changes in OneTablet.
- Overnight hours must end before 5:00 AM. If your OneTablet hours run past that, the menu update is rejected.
Troubleshooting
Section titled “Troubleshooting”My location isn't live yet
Your location goes live when OneTablet sends its first menu. Check that the merchant-supplied ID in OneTablet exactly matches the store ID we gave you, then ask OneTablet to send your menu again. If it still isn’t live, contact help@virnika.ai.
A menu change isn't showing up
Check that the item or category is turned on in OneTablet, and that your open hours end before 5:00 AM. If both look right, contact us.
Callers are told ordering is paused
Your store is paused in OneTablet. Turn it back on in OneTablet and Virnika starts taking orders again.
Tax on phone orders looks wrong
OneTablet doesn’t send tax rates, so Virnika uses the default rate on your location. Ask your onboarding specialist to update it.
